Community Use of VSB Facilities for Private Programs


The Vancouver School Board welcomes community organizations and private programs to use school facilities outside instructional hours.  Our spaces are ideal for after-school programs starting after 3:00 PM, providing safe and accessible environments for learning and recreation

Programs may include

  • Music & Arts - choir, band, painting, drama workshops
  • Cultural Classes - heritage language programs, cultural dance
  • Academic Enrichment - debate and public speaking workshops
  • Sports & Fitness like gymnastics, adult boot camps
  • PAC Recommended Programs such as robotics, coding, chess clubs, leadership programs and other enrichment activities

Types of Facilities Available for Private Program

Indoor Spaces

  • Classrooms are ideal for language classes and arts programs
  • Libraries, Learning Commons are quiet spaces for study or reading clubs
  • Gymnasiums are suitable for gymnastics programs and martial arts
  • Cafeterias are ideal for group activities or social programs
  • Music and Art Rooms for music choir practices or creative workshops

Outdoor Spaces

  • Fields are ideal for multi-sports clinics
  • Outdoor play areas are ideal for bootcamps or nature-based programs

Approval and Facility Hours

All Private Programs booking requests are subject to approval by the School Administrator and Grounds Department.  Available rental hours are limited to after-school hours on weekdays and on weekends.


Review Policy and Procedures

Administrative Policies Overview
  • VSB supports community use as long as it does not interfere with K–12 programming.
  • Rentals are governed by VSB’s Administrative Procedures Manual.
  • All renters must comply with VSB’s Rules and Regulations, including insurance, access times, and facility conditions of use.
Client Types

Rental fees are based on your account category.  Non-profit groups may qualify for discounted rates if your organization is recognized as a non-profit under the Societies Act.

 Registered not-for-profit groups (must provide certificate of registration or a Society registration number)  

📌     Not-for-profit rates are available upon proof of status   


Booking Priority

The VSB makes available public access to VSB facilities provided it does not interfere with school programs or VSB initiatives. 

In order of priority, use is as follows:

  • School Use (curricular and extra-curricular activities)
  • VSB Programs, services, initiatives
  • City of Vancouver and Parks Board agreements
  • Community Use
Rentals Hours

Private programs are scheduled after school hours and on weekends.

Weekdays (After School)
Weekends

 Rental hours are from 3:30 PM to 9:00 PM with access allowed from 3:30 PM to 9:30 PM for setup and tear-down. 

 Rental hours are from 8:00 AM to 9:00 PM with access allowed from 7:30 AM to 9:30 PM for setup and tear-down. 

Access hours are included in the rental and will be counted as part of the total rental time. This means setup and tear-down time are part of your booked hours, so please plan accordingly.

School facilities are closed on.

  • Weekends
  • Statutory holidays
  • School breaks

Facility Rental Fees

The rental rates for all school facilities and grounds are established by the District and reviewed annually. The calculation of these rates will include full cost recovery of long- and short-term capital and all operating costs.

View Facility Rental Rates. Rates are valid from July 1, 2025 to June 30, 2026.

Booking Fees
  1. A non-refundable $25 booking fee for all "firmed" rentals
  2. An additional non-refundable $25 booking fee also applies for any changes made to bookings after the rental contract has been "firmed."
  3. Above fees are subject to GST

 Must be completed no later than 4 weeks before the program begins.
Parking

Street parking is available at most of our school locations.

Please note that some school parking lots are managed by Impark, and metered parking is enforced from 5:00 PM to 7:00 AM on weekdays and throughout weekends. For details on rates and regulations, visit the Impark website.

Parking on school grounds is subject to Administrative Procedure (AP) 543

Insurance Requirements
All groups using district facilities or fields must provide proof of comprehensive general liability insurance with a limit of not less than $5 millioninclusive per occurrence, for bodily injury and property damage, including loss of use thereof, upon approval of your request.

The insurance certificate must name The Board of Education of School District No. 39 (Vancouver), 1580 W. Broadway Vancouver BC V6J 5K8 as the additional insured. 

If you do not currently have coverage, you may be able to purchase insurance through your local insurance provider or at eventpolicy.ca 

Start Your Booking      

  1. Create an Account: If you are a new client, register on the Client Online Portal
  2. Complete the Application Form: Provide all required details for your booking request.
  3. Wait for Confirmation: Facility Rentals Services will contact you by email within 10 business days regarding your application status. 
  4. Pay Your invoice Online: Once approved, complete payment through the portal. 
  5. Sign Your Facility Agreement: Finalize your booking by signing the agreement electronically.
